Transformation blueprints

Case studies: from operational friction to working systems

Each study is told in the same six parts: the problem, the plan, how it was carried out, the technology, what changed and what comes next. The clients are not named, and the studies quote no figures.

Case study 01Manufacturing & Distribution

Multi-Entity ERP Consolidation & Financial Harmonization Framework

A group of branches brought onto one ERP, so that its books are closed from one set of records.

  1. The challenge

A multi-branch group closed its month late because every branch kept its own stock and ledger records. Inventory was duplicated across its warehouses, and intercompany invoices were reconciled by hand, which hid the financial health of the group as a whole.

  2. The plan

We designed one SAP Business One system for all the business units, with automatic intercompany postings and a single group chart of accounts.

  3. How it was carried out

Delivered in phases: business-process blueprinting, master-data cleansing, warehouse barcode integration, and training for the people who would run the system. The timing of each phase was set after the assessment, not before it.

The technology

  • SAP Business One
  • SAP HANA In-Memory Database
  • Crystal Reports
  • Custom API Gateway

What changed

  • One database in place of several separate legacy systems
  • Intercompany transactions posted and balanced automatically
  • Stock visible across every warehouse, with serial-number tracking
  • The same chart of accounts across all of the group’s subsidiaries

What comes next:Integrating AI-assisted reading of supplier invoices, so that accounts payable reconciles directly into the SAP ledger.

Case study 02Logistics & Supply Chain

Intelligent Document Processing & Automated Ledger Ingestion

Freight paperwork read by software and checked against the ERP, with people reviewing only what looks wrong.

  1. The challenge

Operations teams retyped carrier waybills, freight invoices and customs manifests by hand, week after week. A backlog built up, and typing errors found their way into the ledger.

  2. The plan

We built a document pipeline that reads the layout, extracts the fields with language models tuned to the sector, and checks them against the ERP with fixed rules, passing exceptions to a person.

  3. How it was carried out

A secure server-side endpoint collects incoming email attachments, checks tax numbers and line items against open purchase orders in the ERP, and flags only the entries that do not match for human review.

The technology

  • Intelligent Document Processing (IDP)
  • REST API Middleware
  • SAP ERP Integration
  • PostgreSQL Audit Store

What changed

  • Manual retyping of high-volume freight documents removed
  • A complete digital audit trail, with the original document shown beside the data taken from it
  • Each document checked as it arrives, instead of waiting in a queue
  • Price differences raised for review straight away

What comes next:Extending the document models to international customs declarations and multilingual freight bills.

Case study 03Hospitality

Unified Hospitality Operations & Real-Time POS Synchronization

Front desk, restaurant and room inventory kept in step, so that one bill reaches the guest.

  1. The challenge

A boutique hospitality group ran its front-desk bookings and its restaurant billing separately. Checkout discrepancies were common, night audits were done by hand, and many bookings came through third-party travel portals that charge commission.

  2. The plan

We put StayQuora property management together with the Cliq Restaurant Management till, so that guest folios, restaurant tabs and room inventory stay in step in both directions.

  3. How it was carried out

We standardised room categories, set up the rate tables, put tablet-based kitchen displays in the kitchen, and trained front-desk and kitchen staff.

The technology

  • StayQuora Hospitality Platform
  • Cliq Restaurant POS
  • Cloud Real-Time Sync
  • Enterprise Wi-Fi Infrastructure

What changed

  • Dining and room-service charges posted straight to the guest’s room folio
  • Night-audit reconciliation largely automated, so that the front desk closes the day faster
  • A direct booking engine that shows room availability as it changes
  • A record of the guest’s signature on every receipt

What comes next:Adding a mobile digital key and contactless express checkout for guests.
