Intelligent systems · approvals, onboarding and handoffs

Approvals, onboarding and handoffs that run to a rule and leave a record.

We automate the routine flows that cross teams: approvals by amount and type, purchase requests, vendor and customer onboarding, contract and signature steps, and the notifications that keep them moving. Each flow has defined owners, escalation, a clear place for exceptions and an audit trail, and connects to your ERP and other systems so that nothing is typed twice.

What you get

What is included in Business Process Automation

  • Approval matrices

Requests routed to the right approver by value, type and rule, with reminders and escalation.

  • Signatures and contracts

Digital signature and contract steps connected to the flow, with the signed copy filed automatically.

  • Vendor onboarding

A portal where suppliers submit their details and documents, checked and recorded before they are set up.

  • Employee and customer onboarding

Checklists, documents and tasks across teams, in one flow with one status.

  • Connected systems

The ERP, the CRM and other systems updated from the flow, so nobody re-keys.

  • Audit logs

Every step, approver and decision recorded, for compliance and for answering questions later.

Is it the right one?

Where it fits, and where it does not

We would rather you choose the right thing than the one we happen to be discussing.

A strong fit when

  • Approvals wait in inboxes and nobody can see where a request is.
  • The same details are typed into several systems.
  • Compliance needs to show who approved what, and when.
  • The steps are known, even if nobody has written them down.

Look at something else when

  • The process is not agreed or is changing: settle it first (see Process Optimization).
  • It happens rarely: a checklist is cheaper.
  • The steps differ every time: an assistant or an agent may suit better (see AI Automation & AI Agents).

How we run it

How we run Process Automation

Every engagement runs in phases, so the business sees progress and risks surface early. The timescale for each phase is set after an assessment, not before.

  1. Map

Draw the process as it runs, with its exceptions and who touches it.

  2. Simplify

Remove steps and agree rules for approvals, limits and escalation.

  3. Build

Build the workflow with notifications, forms and the connections to your systems.

  4. Test

Test with real examples, including the exceptions, with the people who use the process.

  5. Launch

Switch over team by team, with training and a named owner for the flow.

  6. Review

Look at where requests wait and where exceptions arise, and improve the flow.

Questions we are asked

Process Automation: questions and answers

Which tools do you build with?

The ones that suit your estate: Microsoft Power Automate where you are on Microsoft 365, SAP's workflow and integration tools where you run SAP, or custom workflow software. We choose on fit and on who will maintain it.

What happens to requests that do not fit the rules?

They go to a defined exceptions queue with an owner, the details they need and a record of the decision. We design the exception path as carefully as the normal one.

Can we change the rules ourselves later?

Where the tool allows it, yes: approval limits and routing are often set in a table that an administrator can edit. We agree with you which rules your team can change and which need development.

Start the conversation

Take the waiting out of your approvals.

Tell us about an approval or onboarding flow that stalls: who starts it, who approves it and where it waits. We will show you what an automated version would involve.

  • A map of where requests wait, and why
  • Rules for approvals and escalation that your team can read
  • A flow connected to your systems, with an audit trail
